You just left the job interview, pleased with the way it went. Now you breathe a sigh of relief. Your work is done, and it’s just a matter of sitting back and waiting for the results.

Actually, you’re not quite finished. As a matter of fact, what you must do next—compose a thank-you note—can be a crucial part of the interview process. Most hiring managers pay close attention to how well and quickly you send a thank-you note or follow-up to the interview.

It’s not a terribly difficult task to write a thank-you note, but it may not be your strong suit. Here’s a template to help you get started:

  • Your contact information
  • The date
  • Contact information for the recipient
  • A greeting (Dear Ms. Smith)
  • Body text including the thank-you in four paragraphs or fewer (Make sure there are no grammatical or spelling errors)
  • Closing such as “Yours truly” or “Sincerely”
  • Signature

What is the Best Method of Sending a Thank-You Note?

Many hiring experts believe it’s essential to choose your method based on the hiring company’s culture. For instance, if you’re interviewing at a tech company, sending an email would be the better choice. Companies that seem to be on the traditional side—maybe even old-fashioned—would probably appreciate a handwritten note.

If you’re in doubt, remember an email will be quicker, and you’ll be able to attach documents or include a hyperlink.

This first sample is top-notch because it’s specific and reiterates what the candidate and the hiring manager discussed during the interview.

Hi Ms. Jones,

I just wanted to thank you once again for inviting me to your office today. I enjoyed talking about the accounts payable position and hearing about all the innovative projects you have going at ABC Enterprises. It seems like a wonderful place to work—and not just because you mentioned some great summer outings!

I mostly admire the mission that drives your business and look forward to the opportunity to work with your team to implement some of the ideas we discussed.
